Many "Traps" in Export Tax Rebates, Do Trading Companies Really Understand the Requirements?
In the arena of international trade, export tax rebates are like a "key" for trading companies to unlock profit growth. They not only impact a company’s cash flow but also influence its competitiveness in the global market. So, what are the requirements for trading companies to claim export tax rebates? Let’s delve deeper.
First, trading companies must possess legitimate business qualifications to benefit from export tax rebate policies. Companies must register with the administrative department for industry and commerce to obtain a valid business license, which serves as basic proof of legal operation. Additionally, they must complete tax registration, comply with tax obligations, and establish a sound financial accounting system to accurately track input VAT, output VAT, and other tax-related information for exported goods.
For example, Mr. Zhang’s trading company strictly followed all registration procedures when it was established and maintained standardized financial records, laying a solid foundation for smooth export tax rebate applications later.

Exported goods themselves must meet specific criteria. First, they must fall within the scope of VAT and consumption tax. These taxes cover all VAT-eligible goods (except tax-exempt agricultural products purchased directly from producers) and 11 categories of consumer goods subject to consumption tax, such as tobacco, alcohol, and cosmetics.
Second, the goods must be cleared through customs and exported. "Cleared through customs" means the goods must undergo customs supervision, complete formal customs procedures, and leave Chinese territory. This requires companies to accurately fill out customs declarations and related documents to ensure the information is truthful and complete.
Third, exported goods must be recorded as sales in financial statements. In other words, companies must comply with accounting standards and regulations to properly recognize export sales revenue and accurately document export transactions.
The declaration process is crucial for export tax rebates. Companies must submit applications within the specified timeframe—generally, during the VAT filing periods from the month after the goods are exported until April 30 of the following year—while ensuring all required documents are complete. They must then file for VAT and consumption tax rebates with the relevant tax authorities.
All supporting documents must be accurate and complete, typically including the export customs declaration, export invoice, VAT special invoice, and export foreign exchange verification form. For instance, Ms. Li’s trading company had its rebate application rejected due to an error in the customs declaration data. Only after correcting the mistake was the application successfully processed.
The requirements for export tax rebates for trading companies—from qualifications to goods and declarations—are interconnected at every step. Only by thoroughly understanding and strictly adhering to these requirements can companies successfully benefit from export tax rebate policies, ride the waves of international trade, and enhance their profitability and market competitiveness. We hope all trading companies will prioritize these requirements and fully leverage this policy tool to fuel their growth.
